1. Introduction
The Tenant is a PG management and discovery software platform. This Privacy Policy describes how we handle information provided by PG owners, tenants, administrators, and other users when they create accounts, manage stays, upload documents, submit payment proofs, or interact with our platform.
By using the platform, you acknowledge the practices described in this policy, subject to applicable law.
2. Information collected
Depending on how the platform is used, we may collect and process information such as:
- Account information including name, email address, phone number, role, and login credentials.
- PG and property records including PG name, address, city, state, rent configuration, occupancy details, room and bed records, and contact information.
- Tenant stay information including move-in details, bed assignment, join requests, notice period information, complaint records, and stay history.
- Payment-related data including rent records, transaction references, payment modes, payment status, subscription requests, and approval history.
- Uploaded files such as profile images, PG photos, vehicle photos, documents, government IDs, payment proofs, and subscription proofs.
- Technical and session information reasonably required to operate authentication, role-based access, notifications, and platform security.
3. How information is used
We use information to operate, maintain, and improve the platform, including to:
- Create and manage user accounts and role-based dashboards.
- Support PG listing, occupancy, requests, complaints, vehicles, notices, and payment workflows.
- Enable subscription management, proof review, approval steps, and related administrative actions.
- Provide support, respond to issues, and maintain audit and operational records.
- Protect platform integrity, enforce terms, and detect misuse or unauthorised access attempts.
4. Email and notification usage
We may use email, in-platform notifications, and related communication tools to support registration, login assistance, password reset, subscription workflow updates, complaint updates, payment-related reminders, notice updates, and operational announcements.
Some messages are necessary for the functioning and security of the platform and may not be optional.
6. Data security
We take reasonable steps to protect data using technical and operational safeguards appropriate to the nature of the platform. However, no method of transmission, storage, or access control is completely risk-free, and absolute security cannot be guaranteed.
Users should protect their credentials, avoid sharing accounts, and upload sensitive information only where necessary for legitimate platform use.
7. File and image storage
The platform may store public and private files, images, and supporting documents using managed storage infrastructure and controlled application access patterns. Public listing-related images may be served differently from private operational files.
Sensitive uploads such as payment proofs, documents, government IDs, and subscription proofs should be handled carefully. Access to such files is intended to be limited based on role and operational need, but users remain responsible for ensuring that submitted files are appropriate, accurate, and lawfully shared.
9. Data retention
We retain information for as long as reasonably necessary to operate the platform, support active accounts, preserve payment, occupancy, complaint, and administrative records, resolve disputes, enforce agreements, and comply with applicable legal, audit, or operational requirements.
10. User rights
Subject to applicable law and platform requirements, users may request correction of inaccurate account information and may contact support regarding access, account issues, or permitted data management requests. Some information may need to be retained for compliance, security, billing, dispute resolution, or legitimate operational purposes.
11. Children’s privacy
The platform is intended for users who are legally capable of using such services. We do not intentionally design the platform for use by young children without lawful authority or supervision.
12. Policy updates
We may revise this Privacy Policy from time to time to reflect legal, operational, security, or product changes. Updates will be posted on this page with a revised effective date.
13. Contact and support
For privacy-related questions, account access concerns, or data handling requests, please contact the The Tenant support or administrative team through the contact or support channel made available on the platform.
